Position Title: Factory Administrative Assistant
Work Location: Moline, IL
Schedule: Monday–Friday, between 7:00 a.m. and 4:30 p.m.
Pay Rate: $25/hour (W2 through KellyOCG for John Deere)
Assignment Length: Longer-term assignment with potential for extension and growth opportunities
Position Summary
The Factory Administrative Assistant will provide administrative and coordination support to department managers, supervisors, employees, internal customers, external customers, and onsite contractors.
This role requires strong Microsoft Office skills, excellent communication, careful organization, discretion with confidential information, and the ability to manage multiple priorities independently. Responsibilities include scheduling, reporting, recordkeeping, customer support, event coordination, workflow follow-up, and workplace-improvement activities.
Key Responsibilities
Administrative and Scheduling Support
- Schedule meetings and coordinate meeting logistics, including refreshments and other amenities.
- Coordinate travel arrangements and maintain appointment calendars for department managers and supervisors.
- Organize and maintain records related to supervisors’ projects and correspondence.
- Track pending items and follow up to ensure action items are completed.
- Facilitate workflow through the supervisor’s office and ensure follow-up activities are addressed.
- Prepare letters, memoranda, reports, and other documents for supervisor review or signature.
- Prepare documents for distribution to internal and external recipients.
Customer and Communication Support
- Receive and direct visitors and telephone callers within the department.
- Refer calls and inquiries to the appropriate division, country, company, or department.
- Research, resolve, and respond to questions and concerns from internal and external customers.
- Escalate complex issues to the appropriate team or leader.
- Communicate supervisor instructions and requirements to others.
- Exchange information with senior managers and other stakeholders on behalf of the supervisor.
Data, Records, and Reporting
- Gather, create, maintain, and summarize information from multiple sources.
- Handle sensitive and confidential data appropriately.
- Prepare reports, special-project materials, and timely information for department members and customers.
- Analyze data and resolve discrepancies according to established procedures.
- Update and maintain databases, system applications, and files.
- Ensure accurate and current information is available to authorized users.
- Create and maintain sensitive department records.
- Support basic web or intranet updates using web-publishing applications, as needed.
Workplace and Team Support
- Participate in or lead teams focused on improving the workplace and employee experience.
- Plan and coordinate workplace events, meals, recognition activities, and related logistics.
- Work with and provide indirect work direction to onsite contractors, including facilities services and food-service providers.
- Support daily administrative operations and other department needs as assigned.

Preferred Qualifications
- Postsecondary education.
- Three to five years of professional experience.
- Experience supporting managers or supervisors in an administrative capacity.
- Experience coordinating events, travel, meetings, or workplace programs.
- Experience working in a manufacturing, factory, or corporate environment.
- Experience working with onsite contractors or service providers.
